The Massive Unmet Need
Occupational Health is the process of tracking medical and health readiness for all persons employed in physical or manual labor jobs – Service Members and Civilians. Any job that follows OSHA requirements is tracked by Occ Health processes and personnel. These include Fire Fighters, Police, Mechanic and Maintenance positions, Flight management crews, Nuclear Materials and Accessories Management, etc.
The US Air Force has an extensive population of service members and civilians falling into these categories. Furthermore, these roles actively participate in all lines of the military – Army, Navy, and Air Force, etc.
The DoD and Military Health System recognize there is a serious gap in successfully tracking and managing Occupational Health processes. This gap and resulting liability also extends into the VA Health system as it cares for personnel who were not properly managed by these guidelines during active years of service.
The system and related new technology we propose to develop is called Occupational Health Workflow Optimizer (OHWO).

OHWO - Administrator Dashboard
Streamline process, tracking, and communication for Public Health and OH officials
The Administrator Dashboard is a tool for Health Officials to actively track and manage OH requirements for all covered individuals (active duty, reserves, and civilians) and their departments. These requirements will update for all personnel within these departments and become due at their OH Exams.
Individuals will be able to track their requirements and status via the Outpatient App OHWO Module. Administrators will also track via the dashboard and update during Exams or via printed checklist reports.
These steps ensure standardization and communication with Department Supervisors and Squadron Commanders. The messaging system enables communication between these groups as well.
The Export Feature also allows for external report creation when needed, and future integration with other MHS systems.

Streamlined Employee Health Management
OHWO sends reminders to workers who are due for OH Exams and prompts them to schedule necessary appointments via the App Scheduler. All OH requirements are auto-populated into a single checklist for the worker, and necessary pre-appointment forms are listed. Reminders are sent at intervals if they have not been completed. A progress bar on the worker’s Individual Dashboard tracks the percentage accomplished for each requirement. OHWO also sends an email reminder to schedule the next OH Exam 11 months after completion, thus helping workers stay on track. Finally, OHWO sends a push notification to the mobile app (user), reminding workers to see their requirements checklist and start scheduling appointments.

Department Supervisor Workflows
Efficient Department Supervisor Oversight
The OHWO Department Supervisor Workflow (and dashboard) is designed to help supervisors manage the OH process for their personnel. OHWO automatically sends a list of all personnel with scheduled OH appointments to the supervisors on a standing day of the week to ensure timely management and staff shifts are covered. Supervisors can update workplace rosters in real-time through the app, and notifications will be sent to OHWO administrators to update their roster if necessary. Supervisors will be notified of missed appointments and see a real-time list of all personnel who are current, due, and overdue for OH Exams or other steps. They will also receive reminders when personnel are due. Supervisors can also send messages to OHWO Administrators thru the messaging system.

Commander Oversight & Performance Metrics
The OHWO Squadron Commander Dashboard pulls summary data from all departments in their command including overall Squadron OH compliance (%), the average for the installation, and their rank compared to other squadrons. It also provides notifications and a real-time list of all members who become overdue with OH steps (as well as full status of all personnel).

All parts of a member’s IMR, including occupational health (which can encompass over 20 separate items), must be up to date prior to deploying. Communicating, scheduling, and tracking these myriad components in collaboration with members, unit commanders and supervisors is a never-ending task for medical personnel, who currently must cross-reference 5 different databases and 2 networks to provide this information.
